This Privacy Policy explains how we collect, use, disclose, and protect personal information through our SaaS platform (the "Service"), which helps educational institutions enrich, monitor, and manage constituent data — including alumni, donors, and community members. By using the Service, you agree to the practices described in this Privacy Policy.

2. Scope

This Privacy Policy applies to:

  • Account Holders: Educational institutions, school administrators, or staff ("you" or "users") who create accounts and use the Service.
  • Constituents: Alumni, donors, and community members whose data is uploaded to or enriched by the Service ("Constituents").

3. Information We Collect

We collect the following types of information:

3.1 Account Holder Information

  • Contact details (e.g., name, email address, phone number).
  • Organization details (e.g., school name, address).
  • Billing information (e.g., payment details for subscription plans).
  • Usage data (e.g., how you interact with the Service, IP address, browser type).

3.2 Constituent Information

  • Personal data uploaded by users (e.g., alumni and donor names, emails, phone numbers, addresses).
  • Enriched data we obtain through third-party sources (e.g., updated job titles, employers, social media profiles, life events like weddings or retirements).
  • Monitoring data (e.g., changes in job, location, or social media activity).

3.3 Automatically Collected Information

  • Log data (e.g., access times, pages viewed).
  • Device information (e.g., device type, operating system).

4.1 To Provide the Service

  • Manage user accounts and subscriptions.
  • Perform data enrichment, monitoring, and constituent intelligence services as described in your applicable Order Form or Master Service Agreement.
  • Integrate with user CRMs and related systems to provide updated constituent data.

4.2 To Improve the Service

  • Analyze usage patterns to enhance functionality and user experience.
  • Develop new features and services.

4.3 To Communicate

  • Send transactional emails (e.g., account updates, billing notices).
  • Provide customer support.
  • Notify users of Service updates or changes to our policies.

4.4 For Legal Compliance

  • Comply with applicable laws, such as GDPR, CCPA, and FERPA, and respond to legal requests.

5. How We Share Information

We do not sell personal information. We may share information as follows:

5.1 With Service Providers

We use third-party subprocessors (e.g., data enrichment providers, cloud hosting services) to support the Service. These providers are bound by contracts to protect the data and use it only for the purposes we specify.

5.2 With Your Consent

We may share Constituent data with third parties (e.g., CRM providers) at your direction, such as when integrating with your systems.

5.3 For Legal Reasons

We may disclose information to comply with legal obligations, respond to subpoenas, or protect our rights, safety, or property.

5.4 In Business Transfers

If ReconnectIQ is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction, subject to confidentiality obligations.

6. Legal Basis for Processing (GDPR)

For users and Constituents in the European Economic Area (EEA), our legal bases for processing personal data include:

  • Contractual Necessity: To provide the Service to account holders (e.g., managing subscriptions, enriching data).
  • Legitimate Interests: To improve the Service, analyze usage, and ensure security, where these interests do not override your rights.
  • Consent: Where required (e.g., for certain marketing communications).
  • Legal Obligation: To comply with applicable laws.

7. Your Rights and Choices

7.1 Account Holders

  • Access, correct, or delete your account information by logging into your account.
  • Opt out of non-essential communications (e.g., marketing emails) by clicking "unsubscribe" or contacting us.

7.2 Constituents

If you are an alumnus, donor, or community member whose data is processed by the Service, you may have the following rights under GDPR, CCPA, or other applicable laws:

  • Access: Request a copy of your personal data.
  • Correction: Request correction of inaccurate data.
  • Deletion: Request deletion of your data.
  • Opt-Out: Opt out of certain processing (e.g., outreach campaigns).
  • Data Portability: Request a copy of your data in a machine-readable format.

To exercise these rights, contact the educational institution that uploaded your data. We will assist the institution in fulfilling your request.

7.3 Cookies

You can manage cookie preferences through your browser settings. Note that disabling cookies may affect the functionality of the Service.

8. Data Security

We implement reasonable technical and organizational measures to protect personal information, including:

  • Encryption of data in transit (e.g., TLS) and at rest.
  • Access controls to limit data access to authorized personnel.
  • Regular security audits and vulnerability assessments.

However, no system is completely secure, and we cannot guarantee the absolute security of your data.

9. Data Retention

Account Holder Data: We retain your account information for as long as your account is active, and for up to 1 year after account termination, unless required by law to retain it longer.

Constituent Data: We retain Constituent data for the duration of the user's subscription, and for up to 30 days after termination. During that 30-day window, users may request a full export by contacting admin@reconnectiq.com. After 30 days, Constituent data is permanently deleted, except where retention is required by applicable law. Backup copies may persist for up to 60 days following deletion from active systems and will not be used for any purpose other than disaster recovery.

Usage Data: We retain anonymized usage data for analytics purposes indefinitely.

ReconnectIQ does not sell, license, or transfer Constituent data following account termination.

10. International Data Transfers

ReconnectIQ operates in the United States, and your data may be transferred to and processed in the U.S. or other countries where our service providers are located. We ensure that such transfers comply with applicable laws (e.g., GDPR's Standard Contractual Clauses, CCPA requirements) to protect your data.

11. Children's Privacy

The Service is not intended for individuals under 18 years old. We do not knowingly collect personal information from children. If we learn that we have collected such information, we will delete it promptly.

12. California Privacy Rights (CCPA)

If you are a California resident, you have the following rights under the CCPA:

  • Right to know what personal information we collect, use, disclose, or sell.
  • Right to request deletion of your personal information.
  • Right to opt out of the sale of your personal information (we do not sell personal information).
  • Right to non-discrimination for exercising your rights.

13. FERPA Compliance

ReconnectIQ acknowledges that certain client institutions may be subject to the Family Educational Rights and Privacy Act (FERPA), 20 U.S.C. § 1232g. To the extent that ReconnectIQ processes education records on behalf of a client institution, ReconnectIQ agrees to:

  • Act solely as a service provider performing functions for which the institution would otherwise use its own employees, consistent with the school official exception under FERPA;
  • Use education records only for the purposes for which they were disclosed and as directed by the institution;
  • Not re-disclose education records to third parties without prior written consent from the institution, except as required by law or as necessary to provide the Service using authorized subprocessors;
  • Maintain reasonable technical and organizational safeguards to protect education records from unauthorized access, use, or disclosure.

Client institutions are responsible for determining whether their use of the Service involves education records subject to FERPA and for obtaining any necessary consents or authorizations.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on our website or emailing you at the address associated with your account. Your continued use of the Service after such changes constitutes your acceptance of the updated policy.
